November 2023 Agenda and Minutes

  • Updates: Sensitive matters were discussed among the board

New items:

  • Making sure everyone on board is aware of the clubhouse roles- how can everyone help:

- Cleaners: Omar- Kristina to update and send contact information. (Cheryl)

- Reservations: Clubhouse reservations. (Renea)

- Keycards/ mountain alarm and keycards: (Kristina)

- Bids: Bids for clubhouse inside paint. (Renea)

- Hot tub January closure: reach out to Sara to see if a date was set for the pool company to close the hot tub or date needs to be set. Kristina needs to do so. (Kristina)

- Extra trash days for the holidays scheduled- arrange extra days for Holiday pickup so our trash doesn't get too full. (Jessica)

  • Annual meeting and the date saved- Reminder in annual meeting email this to discuss. No longer providing pest control: cost of what we will save. No winter hot tub. Raise in dues. Special assessment is a possibility. Consider changing the pool hours. Consider charging for utilities. Options for what can help our community lower costs.

  • Fall newsletter- bio for who wants to run. 2 board positions. Send out by December 1st to the board return. Email the ballots out to the community on December 6th. Will do another big push for vote return on January 3rd and board members will walk around to post reminders and encourage community members to vote and attend our annual meeting.

  • Save the date: Our Annual Homeowners Association meeting will be held on Wednesday, January 10th, 2024

  • Next year HOA payment info mailed out

  • Annual meeting prep

  • Unit keycards- Ask Sara the price of the box and individual cost and the services that go with it. Kristina is checking and updating: Gmail, Brivo, and contacts to make sure everything is the same across the board.

  • Decision on Cowboy and pest control in general- Cowboy is out after the snow removal. There is no more pest control according to the CC&R, each unit is on their own. Consider doing a wasp spray as needed. Jessica getting new bids for companies for the new year for ground crews. If need be offer wasp spray and home defense in the lost and found cabinet for community members use.

  • Recommended to clean the gutters: case by case, especially the units that share a porch
