CALL TO ORDER March 12th, 2025 @ 6:30PM HOA Board Members & 7PM Community

HOA Meeting began at 6:30 PM conducted by Jessica who serves as Board President 


INTRODUCTIONS & ROLL CALL 

Board In Attendance: Jessica, Karmen, Cheryl, Rachael, & Kristina

Board Not in Attendance: 

Community Members in Attendance: Megan (#775), Breanna (#747)


APPROVAL OF FEBRUARY MINUTES: Informal Meeting Completed to assign board member positions-

President: Jessica Gilliland, Vice President: Karmen Diaz, Treasurer: Cheryl Wilson, Secretary: Rachael Dial, Landscape Manager: Kristina Mower


FINANCIAL REPORT

Assets & Operating Fund: Reviewed prior to meeting

Reserve Expenses: Reviewed prior to meeting

Profit & Loss Reports: Reviewed prior to meeting

Past Due Payments: Reviewed prior to meeting


UNFINISHED BUSINESS:

  • CC&Rs update- (Assigned: Jessica, Karmen, & Cheryl)

    • Update needs to be voted by 60% of owners, Change being proposed: Removal of Insurance deductible on CC&Rs where they are subject to change through HOA history 

  • Vehicle Registration/non-operating vehicles- (Assigned to Karmen)

    • Past Due Registration: Notice 1- Friendly Letter, Notice 2-Issue deadline

    • Not operating Vehicles-Notice 1-Warning, Notice 2- Issue Fine 

  • Landscaping Bids for 2025- (Kristina Received Bids) from Western All Service, C&C Grounds Maintenance, Western All Service, Summit Lawn Care & Landscaping

    • C&C Grounds Maintenance- Voted as 2025 Landscaper

  • Property Line Saga- Proposition Letter (Rachael) and bids for tree trimming (Kristina)

  • RV parking Waitlist Proposition- 1 available spot, email community letter to be sent (Rachael)


NEW BUSINESS:

  • Spring Door Flyers – Spanish & English if possible (Karmen)

    • Clubhouse Cleaning (State what supplies are available and what supplies are not)

  • Broken Treadmill- 

    • Get bids for new treadmill or different affordable options (Jessica)

    •  Ask community preference – What equipment would they like to see

  • Move-ins & Move-outs/ Key Cards (Rachael Assisted Residence)

  • Replacement Cards

  • 2 Units available for rent

  • Clubhouse Reservation Party/ Events: (Rachael- Update on rules and regulations stating all Events and Parties are by reservation only. Individuals that use the clubhouse for a quiet place to work or homework is a first come first served basis if the clubhouse does not already have a reservation set

  • Clubhouse Cleaning process (Write letter of what supplies are and are not provided)

    • Update confirmation email to include things to remember… Bring your own cleaning supplies. Also list what the HOA helps provide. Assigned- Clubhouse Manager)


COMMUNITY MEMBER ITEMS

  • #757 Back Spigot on the back of their homes does not work (Owner or HOA responsibility is dependent on the source of the issue) Interior plumbing would be owner responsibility. 


2025 DUES

Dues since January 1, 2025 is $240 per month. If you are not paying the correct amount, please understand that you will be charged a late fee amount if not paid in full. If you notice that you have been paying the incorrect amount and want to know the full past due amount, please let us know. Thank you.
