NOVEMBER 2025 – AGENDA & MEETING MINUTES


Meeting Date: November 12, 2025

Call to Order: The meeting was called to order at 6:20 PM by Jessica, Board President.


Roll Call

Board Members Present: Jessica, Cheryl, Rachael, Kristina, Karmen

Board Members Absent: None

Community Members Present: Leslee (Tenant, Unit #163)


Agenda Items

1. Warning Notices & Fines

  • Window A/C Units: Warning notices to be issued.

  • Trees in Backyards: Fines to be issued. Backdating fines may apply if warranted.

    • Assignments:

      • Kristina will identify affected units.

      • Karmen will prepare and send letters.

2. Update from Mr. Morley

  • Two properties have been served; one remains due to difficulty reaching the owner (non-primary residence).

  • Property comparables and valuation estimates will be gathered.

    • Assignment: Rachael to contact a realtor.

3. 2026 Budget Discussion

  • Reserve study scheduled for completion in January 2026.

  • Potential repairs for 2026 (pending budget and reserve study results):

    • Balcony resurfacing (TBD)

    • Sprinkler system updates (ongoing)

    • Pool fence & carport rust removal/paint – approx. $13,000

    • Tree removal – approx. $6,500

    • Door frame repairs

4. 2026 HOA Dues

  • Goal is to keep dues the same; final decision will be made after reviewing the completed reserve study.

5. Annual Meeting

  • Date/Time: January 14 at 6:30 AM

  • Required Documentation:

    • 2026 Budget

    • 2025 Expense Report

    • Assignments: Jessica to print documents; Cheryl to obtain breakdown from Riley.

  • Term Renewals: None in 2026.

    • Cheryl & Jessica: Terms valid through January 2027

    • Kristina, Karmen, and Rachael: Terms valid through January 2028

6. Landscape Update & Cleanup

  • 36 shrubs planted.

  • Kristina will follow up on potential overcharges related to plant removal where she and other board members assisted with pulling bushes.

  • Jessica and Sean cleaned the RV parking area.

7. Craigslist Maintenance Update

  • Shutter repaired using upgraded hardware.

  • Handrails: Owners may install handrails at their own expense with prior Board approval.


Move-Ins / Move-Outs

  • Unit #816 – Moved out

  • Suggestion: Begin requesting preferred language from new residents and adding it to their file.


Financial Report

  • Assets & Operating Fund: Reviewed

  • Reserve Expenses: Reviewed

  • Profit & Loss Reports: Reviewed
