Call to Order

The meeting was called to order.

Roll Call

Board Members Present: Jessica, Karmen, Cheryl, Rachael, Kristina

Board Members Absent: None

Community Members Present: As recorded at the meeting.



Agenda Items & Discussion

1. Carport & Pool Fence Painting Project

The Board provided an update on the upcoming carport and pool fence painting project.

After reviewing multiple proposals, the Board selected GNC Painting to complete the work. The contractor provides a one-year workmanship warranty.

Community notifications are being prepared and will be distributed through:

  • Printed flyers

  • Community newsletter

  • Email notifications

  • Community Facebook page

Flyers are currently being created and translated to ensure all residents receive project information. Distribution dates will be announced prior to the start of work.



2. Rules & Regulations Updates

The Board discussed several initiatives aimed at improving communication and community operations, including:

  • Development of a digital cleaning checklist accessible through a QR code.

  • Creation of an online maintenance request form that will automatically track submissions through a spreadsheet system.

  • Review of violation tracking procedures and online documentation.

Additional updates will be shared with homeowners as these systems are implemented.



3. Spring Community Newsletter

The Board reviewed items included in the Spring Community Newsletter and reminded residents of community standards regarding personal property.

Residents are reminded that personal belongings may not be stored:

  • On front lawn areas

  • Adjacent to stairways

  • In landscaped bushes

  • On sidewalks or common areas

Additionally, flowers or landscaping installed by homeowners in front common-area landscaping must be removed unless specifically approved by the Association.



4. Property Line & Tree Maintenance Updates

The Board discussed ongoing efforts related to property line clarification and tree maintenance.

Property line review work remains in progress and must be completed before maintenance can proceed on trees located along the south property boundary.

The Board also discussed:

  • Providing property information and requirements to Mr. Morley regarding potential property transactions.

  • Evaluation of three trees within the community that may be dead or declining. A final determination is pending inspection.

RV Parking Area Tree Work

Tree maintenance in the RV parking area, including work on two crabapple trees, is scheduled for June 8, 2026.

The approved proposal from Peterson Tree Care totals $2,975.

To minimize disruption:

  • RV parking tenants will receive at least two weeks' advance notice.

  • Notices will be distributed by May 25.

  • Coordination with the contractor and residents will occur prior to the scheduled work date.



5. Property Repairs & Maintenance Updates

Fence Repairs

The Board continues to obtain and review bids for fence repairs throughout the community.

Additional repair locations have been identified, including:

  • East-side fence post repair near the playground

  • North fence panel replacement

Roof Vent Repairs

Repairs for Unit 164 remain under review, and contractor coordination is ongoing.

Chimney Repairs

Additional bids are being obtained for chimney repairs. Contractors are currently gathering measurements and preparing proposals for Board review.

Clubhouse Furniture

The Association has purchased:

  • Two 6-foot rectangular tables

Damaged tables will be removed from the clubhouse.



6. Pool & Amenity Updates

Pool & Hot Tub Opening

Seasonal preparation of the pool and hot tub is underway.

Rocky Mountain Pool Services has completed an initial inspection and repaired a pipe requiring maintenance. Additional preparations are expected to continue through late May.

Safety & Facility Improvements

The Board discussed:

  • Installation of updated pool signage regarding age and supervision requirements.

  • Verification of county requirements for pool facilities.

  • Repair and maintenance of the pool-area soap dispenser.

The pool opening date will be announced once all inspections and required maintenance have been completed.



7. Move-Ins & Move-Outs

The Board reviewed recent occupancy activity within the community.



Assignments & Follow-Up

Board members reviewed outstanding action items and assigned follow-up responsibilities to ensure timely completion of ongoing projects and maintenance activities.

There being no further business, the meeting was adjourned.
