2026 JANUARY ANNUAL AGENDA & MEETING MINUTES

Call to Order

The meeting was called to order at 6:30 PM by Jessica Gilliland, Board President.


Roll Call

Board Members Present: Jessica Gilliland, Karmen, Cheryl, Rachael, Kristina

HOA Accountant: Riley Galt

Community Members Present: Debbie Dester, Michael Turner, LaDawn Graves, Debbie Woolstenhulme, Brenda Naylor, Sara Phenix, Daniel Smith


Welcome & Meeting Conduct

The meeting was conducted by HOA President Jessica Gilliland.


Financial Review

2025 Profit & Loss Statement Riley Galt presented the 2025 Profit and Loss Statement and reviewed the itemized line items. Attached below.

Profit Highlights:

  • HOA payments made via credit card and paid monthly, resulting in approximately $5,318 in credit card reward points.

Expense Highlights:

  • Accounting services

  • Clubhouse expenses

  • Repairs and maintenance

  • Pool maintenance (Rocky Mountain Pools)

  • Insurance (State Farm)

  • Preventative maintenance on water lines

  • Wasp treatment

  • CC&R updates

  • Land surveyor fees

  • Whipples water line repair

  • Pipe repairs

  • Fence repairs

  • HOA registration fees

  • Springville utilities

  • Garbage services


Balance Sheet Review

  • Investments managed by financial advisors were reviewed.

  • The HOA experienced an approximate gain of $24,000 during the year.


2026 Proposed Budget

  • The proposed 2026 budget was presented by Accountant Riley Galt. (Attached below)

  • Reserve Study in Process


Projects Completed in 2025

  • Hot tub jet pump and timer replaced

  • Pool lights replaced

  • Dead and dangerous trees removed along the south property line

  • Landscaping added or replaced throughout the community

  • Repairs completed on select shutters and fencing

  • New treadmill added to the clubhouse gym

  • Projector remote charged


Future Projects

  • Property line matters

  • Carports

  • Removal of additional dangerous trees


Community Updates

  • Shutter repairs

  • Fence damage

  • Change of CPA resulting in cost savings

  • Possible updates to Rules and Regulations regarding collections, liens, and foreclosure for nonpayment of HOA dues


Q&A – Community Members

  • An explanation of the current legal matter regarding the property line was provided.


Move-Ins / Move-Outs

  • Several units are currently for sale or available for rent.

  • New renter in Unit 59.
