November 2024 Agenda & Meeting Minutes


CALL TO ORDER November 13, 2024 @ 7:00 PM

HOA Meeting began at 7:00 PM conducted by Renae who serves as Board President.

PROJECTS

Completed:

  • Community Day of Service (we had 3 resident volunteers & accomplished removing dead bushes, cleaning the creek, removing wasp nests, cleaning up dumpster areas, and picking up trash). Thanks to our donors: Republic Services for the case of waters; Cambria Smith at State Farm for snacks & beverages.

  • Remove Dead Bushes (completed during a community day of service)

  • Coupons for the dump & doing a fall/winter clean up (Rachel contacted Springville City but they only offer this in the Spring)

  • Furnace Filter Monthly Replacement (Sean will manage)

  • #784 Linda Needham paid $20 for new keycard (Kristina issued new keycard)

  • Residents requested that drivers Slow Down (Rachel added this to the Fall/Winter newsletter)

  • Fall/Winter 2024 Newsletter sent (Rachel wrote & emailed residents)

  • 747 N Shed repaired (Craig)

  • 702 N Shutter on side of unit repaired (Craig) still need to fix shutter in front

  • 747 N Tree Branch cut so it doesn’t hit truck or break with the weight of snow (Jessica responded that it was not necessary)

  • 767 N complaints re neighbor who has skeleton decoration on her yard & kids trash/bikes left out (Rachel addressed)

  • Written Notice given to #803 for dog feces left out (Rachel completed)

  • #761 N gate latch repaired (Craig completed)


Updates:

  • Contacts List (Kristina is continuing to update the list) 

  • Replace #753 Shutter (Kristina/Jessica will order & Craig will paint and install)

  • Paint Rusted Pool Fence (Kristina will oversee - during Spring community day of service)

  • Trees in Backyards Removed by 11/1/2024 (Jessica is in the process of individually reaching out to owners)

  • Snow Removal Contract (Jessica is working on contracting with new company)

  • Hot Tub Pump Broken (Jessica will get fixed in Spring)

  • Pool lights need to be replaced (Jessica will get fixed in Spring)

  • Pavement Cracked & Lifting (Renae will get quotes in Spring)

  • Pool Net Broken (Jessica will replace in the Spring)

  • Electrical Boxes (Kristina will reach out to company to fix & remove wasps nests)

  • HOA Comps (Cheryl will review what other local HOA’s offer & charge)

  • Bricks on Clubhouse Chimney (Sean will seal & repair)

  • ‘No Alcohol’ sign in clubhouse (Sean will order)

  • Contract/Release for Craig to have access to the Pool (Renae will create a form)

  • Clubhouse Manager position (Kristina will add position to website)

  • Board Member Responsibilities & Standard Operating Procedures (All board members will review & type up SOP by 9/18)

  • #778 Reported an overgrown tree & problems with roots (Jessica will follow up)

  • #782 Reported a diseased tree that needs to be removed (Jessica will follow up)

  • #762 recommended HOA use Telegram app to give updates about the complex instead of Facebook (___ will review options)

  • #763 & #766 Recommended that all units use a Water Heater Overflow Valve to save $ on the community water bill.  (Cheryl will look into possibly getting a group discount with a plumber) 


New: 

  • 788 N requested tree removal (Jessica is getting bids for removing a few other problem trees in the complex)

  • Vending & Soda Machine in Clubhouse as possible revenue stream

  • Dedicated Hunter advertisement for removing the tree?

  • Downspouts - buy in bulk? Sell to owners for backyard? 

  • Annual Meeting - send the date, ask for board member interest, send out approved budget and voting packet.

CC&Rs

  1. 63% vote to change insurance deductible

    • While going door to door to get votes, update contact list for each unit


2025 DUES

15% max increase per CC&Rs = $241.50

Dues will increase January 1, 2025 to $240



NEXT HOA MEETING

January 8, 2025 @ 6PM in The Willows Clubhouse & via Zoom

Annual meeting where we will vote for 2 paid positions and 2 re-elections.


MEETING ADJOURNED

Renae adjourned the HOA meeting at 8:06 PM.
